The NJMLS:  We Give You More Than Just Listing Maintenance

The NJMLS continues to offer our members many system-integrated products that are provided at no extra charge as part of the membership fee (which has remained the same since 2007). We strive to always be on the lookout for products and services that help streamline your workflow:

Cloud CMA:  The NJMLS is the only MLS in the state of New Jersey to offer this product free of charge, passing along a savings of $349.95 per year to our members. Cloud CMA is an option we are providing to create a customized CMA Report; it also allows users to create Buyer’s Tour Reports, Property Detail Reports, and Property Flyers.

ZipForm Start Contract Integration:  We are the only MLS in New Jersey to offer integration of this transaction management service free of charge to our members. A quick and simple way to write a Contract of Sale, using the MLS-PUSH feature that pushes data directly from a listing in XL Paragon to a zipForm® transaction. You also have the convenience of being automatically logged in when you go from our XL Paragon system to the zipForm® Plus site. New integration features continue to streamline members workload. (See separate article in this newsletter on ZipForms).

ShowingTime Appointment Scheduling Service:  Save time, reduce calls, and generate showings by enabling ShowingTime on your listings. ShowingTime provides a simpler way to schedule and manage showings, request feedback from showing agents, create listing activity reports, schedule buyer’s tours and send notifications to agents who have shown your listings.

Realist:  This property database allows users to search for properties and listings, flood maps, assessor maps, and zoning maps. You can also evaluate market conditions and trends, identify comparable properties, search for distressed properties, and more. Tax data is available for all 21 counties in New Jersey and nine counties in New York.

Supra MLS Integration:  Members whose keys have been assigned by the NJMLS are able to access the Supra MLS integration, found on the Full Reports of their listings. Simply use the icons provided to quickly assign a keybox to a listing, access a showing report to see which agents have opened the keybox, and unassign a keybox from a listing when the property is off-market.

Focus on zipForm Plus

ZipForm Plus, the transaction management product with an e-signature option that is integrated with XL Paragon, has just gotten even better. Two new features have recently been added:

Automatically apply template to new transactions: The NJMLS Start Contract feature is now even smarter. If you have created default templates for each category type in zipForm Plus (the virtual folders where you store documents for your transactions), the correct template will be available to you automatically, every time you start a transaction in that property category using the “Start Contract” link.

Link to send Listing Agreement and Change forms to zipForm Plus:  When creating a Listing Agreement, Change of Status, or Withdrawal form in XL Paragon, you now have the option to send it directly to zipForm Plus to send out for e-signature. A link can now be found on the existing Print/Email PDF screen, which eliminates the need to save it to your Desktop as a PDF and upload it into zipForm Plus manually. Simply choose whether to add this document to an existing transaction folder or create a new one.

Additions to the XL Paragon Mobile View

Since the release of the XL Paragon Mobile View several months ago, we have been releasing additional features to make working in it more comprehensive. As a reminder, eventually all tools in XL Paragon will be available in the Mobile View. Since our last update, here’s what’s new:
  • View similar listings in the same Building Complex
  • Receive alerts for and view Office Hotsheets
  • Edit Contacts, View Contact’s Sent Email, View Contact’s Prospect Searches
  • View Sent Email log
  • View NJMLS Desktop Messages
  • View alerts for new Prospect activity
  • View Listing alerts for Expiring Listings, Listings in ARIP more than three days, Listings UC and past Estimated Closing Date
  • Change Remarks in your listings
  • View Hit Count Report

Additional features that are coming soon:
  • View/Edit Calendars
  • View/Edit Saved Searches
  • Add Prospect Search

Presentation of Offers Rule

The National Association of REALTORS® has formalized a new rule requirement regarding the right of a cooperating broker in the presentation of an offer. As part of this requirement, a new form has been developed by NJ Realtors® titled “OWNER’S CONFIRMATION OF RECEIPT OF WRITTEN OFFER.” The new form is now available in the zipForms library on njrealtor.com. Members should obtain a copy of this new form in that library and begin using it immediately.

The NJMLS Rules and Regulations for 2019 include the new rule as follows:

Section 2.2
Presentation of Offers
The listing broker must make arrangements to present all written offers to the seller as soon as possible and without undue delay.
Where the cooperating broker is not present during the presentation of the offer, the cooperating broker can request in writing, and the listing broker must provide within 48 hours, written affirmation stating that the offer has been submitted to the seller, or a written notification that the seller has waived the obligation to have the offer presented.


New! Quick Prospect Feature


A new feature has been implemented in XL Paragon, providing an additional, more intuitive way to add a Prospect. When sending listings to a new email address (one which you have not previously sent to from the system), an option will display on the existing “Save Contact” dialogue screen, prompting you to schedule this recipient as a Prospect using very basic Prospect criteria, including whether your customer should receive emails on an immediate or daily basis. You will have the option to modify the Prospect criteria at a future date to include more comprehensive choices.

Once scheduled as a Prospect, the client and the agent will receive a “Welcome” email with a link to a video, guiding them through the navigation of the Client Connect page, showing them the features of the page, how to mark favorite listings, send messages, and schedule showings.

Showing Instructions

Coordinating property showings takes a little work, but it is important that the Showing Instructions provided in the listing are followed. Please be sure to read and follow the Showing Instructions in each listing. To help make them more descriptive, we are adding two new fields to this section.

1.  There will be a new, required field with a menu of choices:

  • Use Showing Time
  • Text Listing Agent to confirm appointment
  • Call Listing Agent to confirm appointment
  • Call Listing Office to confirm appointment
  • Call Owner to confirm appointment
  • Call Tenant to confirm appointment
  • Key in Listing Office
  • Go Direct/NJMLS KeyBox Installed
  • Other/See Showing Instructions

2.  The Text field Showing Instructions/Agent remarks will be broken into two text fields:
  • Showing Instructions (required) to be used for additional details on showings
  • Agent Remarks (non-required) to be used for links or additional confidential information or disclosures to be shared with other agents

Attention Brokers:  Convenient Courier Service for KeyBox Delivery


Did you know Designated Realtors may now place orders for courier delivery of up to four Supra KeyBoxes* for a fee of $10 per delivery? There is no need to visit an NJMLS office to pick up KeyBoxes; simply complete an order form, submit it, and the boxes will be delivered to you.

Delivery times are as follows:

  • Orders placed by 11am Monday through Thursday will be delivered the next business day
  • Orders placed on Friday will be delivered on Monday
  • Orders placed Saturday/Sunday will be delivered on Tuesday

KeyBox orders will be delivered to the office address of the Broker who placed the order. A signature will be required at the time of delivery.

*If you require more than four KeyBoxes, please call for pricing.

Change in Our Lyndhurst Location Office Hours

To better accommodate members, we have modified our Lyndhurst office hours. That office is now open from 9am to 4pm, and will NOT CLOSE for lunch. The days of operation remain Monday, Tuesday, and Wednesday.

NJ Real Estate Commission Rules Regarding ‘Coming Soon’ Listings

We sometimes receive questions asking whether it is permissible to advertise a listing as ‘Coming Soon’ if there is no signed listing agreement. The New Jersey Real Estate Commission has indicated that a property should not be advertised in this situation. If a listing agreement is not signed and a property is then advertised, the NJ Real Estate Commission has indicated this would be a violation of section NJAC 11:5-6.1(r) related to misrepresentation.

NJAC 11:5-6.1(r)
No advertisement shall contain false, misleading or deceptive claims or misrepresentations. In all advertisements which make express or implied claims that are likely to be misleading in the absence of certain qualifying information such qualifying information shall be disclosed in advertisement in a clear and conspicuous manner.
